The essential guide to using Templates with WriteText.ai
What you can use Templates for
WriteText.ai empowers you to set up and configure customizable templates for category titles, descriptions, product meta titles, and product descriptions—putting you in 100% control of how text is generated and displayed.
Key benefits of Templates
- Flexible sections. Easily create structured sections for subtitles, introductions, features, technical specifications, and beyond. Customize content flow with custom sections defined by custom prompts to ensure each section aligns with your brand voice.
- Seamless formatting. Headings and captions automatically follow your shop's stylesheet for consistent branding, while you can apply bold, italic, and underline styles to plain text for added emphasis.
- Full layout control with CSS classes. Every section in your template is assigned its own CSS class, allowing your front-end team to define the exact layout in your store’s theme. This ensures that when text is generated, it automatically follows your preferred structure and styling (whether that means grids, columns, or custom placements) instead of rendering as a single block of text. There is no limit to the number of templates you can set up, nor is there a limit to the number of ecommerce sites that can use templates without any extra costs.
How WriteText.ai works with Templates
WriteText.ai streamlines template management through its backend at https://platform.writetext.ai under the Templates section, where you can set up and maintain them effortlessly. To ensure accuracy in multi-template environments, templates must first be linked to your webshop before they become selectable for text generation, minimizing the risk of users choosing a template designed for a different ecommerce site by mistake.
Initial setup and platform considerations
Upon first configuring WriteText.ai, the 'Default Template' is automatically selected. This works seamlessly for Shopify, which uses a single product description field. However, for WooCommerce and Magento—with both short and long description fields—mismatches may occur, such as overly lengthy short descriptions overwhelming site layouts or insufficient content leaving spaces underfilled. If your site template is configured to use only the short description field, the generated text may be too short or not contain the information you want.
WriteText.ai Templates have been developed to follow industry standards, so it is quite easy to ask your designer or developer to customize your webshop. Read more about integrating your webshop with WriteText.ai.
Best practices for optimization
We recommend generating text for a single product first, then publishing it to preview how it appears on your live site. Next, access the Templates section at https://platform.writetext.ai to review and reconfigure if necessary. You can clone the default and industry templates to make adjustments or create a new template from scratch.
Adding or removing a section is straightforward, and changes take effect instantly upon saving and regeneration, making your updated template immediately usable.
Template combinations
Tailor templates to your platform's structure for optimal integration:
WooCommerce and Magento:
- Short description template only
- Long description template only
- Short and long description templates combined
Shopify:
- Product description template only
WriteText.ai includes ready-to-use starter templates tailored to common ecommerce verticals or industries like fashion, electronics, home goods, health and beauty, sports, and media. These templates are designed to follow proven content structures based on industry best practices.
Each template is labeled with a prefix to indicate its intended use:
- S- for short descriptions
- L- for long descriptions
- F- for full descriptions (both short and long)
Templates marked with F- are ideal for platforms like Shopify, where there’s only one product description field, or for setups that consolidate all product content in a single section. If your store supports both short and long descriptions (as in WooCommerce or Magento), you can pair the S- and L- templates accordingly for a complete setup.
For WooCommerce and Magento users: If you're unsure whether your store uses the short description, long description, or both, try generating content for a single product first. Before transferring, manually add the labels “Short Description” and “Description” at the beginning of each section. This will help you quickly identify how your template is configured and how the content displays on your storefront.
Stylesheet
WriteText.ai supports the following stylesheet elements:- Body text
- Number
- Bullet
- Bold, italics, and underline
- H1-H6
- <figcaption> (the tag for image captions)
Depending on how your template is set up and configured, you may not need all the styles. If you use a style that is not configured in the stylesheet of your webshop, the output will be plain text. Additionally, WriteText.ai follows the spacing and padding defined by your webshop's text styles and line breaks (such as paragraphs and line breaks). If you notice too much space between elements or sections, it's likely due to the padding settings in your stylesheet. We’ve included classes within each element to make it easy for you to adjust them as needed.
Ecommerce store configuration
Store configuration
Ecommerce sites vary in setup: some use only product descriptions, others short descriptions, and some both.
Best practices to avoid wasting credits
To prevent unnecessary credit usage, generate and publish text for just one product initially. Review it to confirm it meets expectations. If adjustments are needed, refine the template, generate new text, publish, and recheck—repeating until satisfied.
Stylesheets
Verify output to ensure the layout aligns with expectations. Stylesheet errors can directly impact page quality, as WriteText.ai generates content precisely according to configured styles. Potential issues include:
- H1–H6 padding
- Font size
- Font color
- Padding after line and paragraph breaks
- If the output falls short, consult a front-end developer for corrections.
Automation with WriteText.ai Templates
While WriteText.ai’s templates are not a page builder, they automate the setup of new product pages—including text formatting and image insertion within the product text—to meet the needs of most ecommerce sites. This process occurs entirely automatically, without human intervention.
Important Note: If you have used a page builder for your product pages, be aware that transferring category and product descriptions to your e-commerce site will overwrite any custom setups created with the page builder. |
Layout and styling with CSS classes
Each section in your template is automatically wrapped with a dedicated CSS class, giving you full control over how and where content is displayed on your storefront. These classes allow you to apply custom styling from your theme’s stylesheet, enabling flexible layout adjustments—such as floating specs beside images, highlighting benefits above the fold, or collapsing FAQs into mobile-friendly accordions. This empowers your team to achieve custom page designs without touching the generated content or needing additional plugins.
For more information on using these classes in your ecommerce theme, view the full styling guide.
Template configuration
Access template configuration via the Templates menu in the WriteText.ai backend at https://platform.writetext.ai. The main screen lists the five supported template types:
- Product meta title templates
- Product description templates
- Product short description templates
- Product full description – combining short and long description (for Shopify and WooCommerce/Magento if they are only using long or short description)
- Category meta title templates
- Category description templates
Viewing available templates
To browse default templates (examples for different industries pre-configured by WriteText.ai) or existing setups, click the section name or the arrow on the right side of the screen.
Creating new templates
Click the “Create new template” button or open the list of available default templates in a section then click the copy icon to base your new template on a WriteText.ai default.
Once selected, the template opens in edit view. Update it to meet your requirements, then enter a template name, click 'Save changes', and use the back button to return to the template list.
If starting from scratch via "Create new template", the template starts out empty, requiring you to select and configure each section for inclusion.
Linking or assigning templates to ecommerce sites
Templates function as individual objects in WriteText.ai and must be linked or assigned to specific ecommerce sites for use, enabling consistent output across platforms and API integrations.
Linking occurs on the “Linked webshops” page in the backend, where all connected ecommerce sites are listed. Under each site, the five text types appear: Product meta title, Product description, Product short description, Category meta title, and Category description.
To link or assign a template, open the dropdown for any text type then select the desired template or templates.
Once assigned, the template becomes selectable in the plugin during text generation.
Using multiple templates
Assign multiple templates to a single site for handling distinct categories or product groups. For instance, a site selling women's clothing, accessories, and jewelry might need close-up images for jewelry and accessories but not for clothing. Achieve this with two templates: one configured to include a close-up* image in the product text—further enhanced by checking the image description checkbox in the image section to enable descriptive captions that boost SEO—and another template without close-up images in the product text.
In another example, a hardware store selling paint products could use a specialized template to detail compatible surfaces—unnecessary for items like screwdrivers. This setup is achieved with two templates: one featuring a custom prompt that leverages online research to identify suitable surfaces for the paint, and another without that section.
With no limit on the number of templates you can set up, consider using different templates for your product categories.
*To ensure that it works all the time, set up the template to use, for instance image number 5 or 6 in the preview, and make sure that is the zoomed in image in all your products.
Configuration of template sections
Templates consist of one or more sections, with no technical limit on the number of sections that can be included.
WriteText.ai offers a set of predefined sections that require only basic properties to be set to get started. For advanced users, custom prompt sections (pro version) provide full flexibility, allowing for user-defined text generation while incorporating keywords from automatic SEO analysis, product attributes, online research, and image analysis—resulting in SEO-optimized, well-written, and factually accurate content tailored 100% to your preferences.
Built-in Template Sections
- Product title (H1)*
- Subtitle or tagline
- Introduction
- Features
- Advantages
- Benefits
- Use cases
- Technical specifications
- FAQ
- Call-to-action / Conclusion
*Before adding an H1 to your template, verify if the product page already includes one (e.g., the product title). Multiple H1 tags can harm SEO.
Additionally, two special sections—Add image and Add custom prompt—can be inserted multiple times, unlike other sections which appear only once (e.g., avoiding duplicate Benefits sections). Note that the image section and custom prompt section are only available in Pro.
Section ordering and customization
Sections default to a logical order mirroring typical product text flow but can be rearranged by dragging and reordering them accordingly.
Not all ecommerce sites need every section—some may require just 2–3, others 6 or 7. Configure templates to suit your needs, then test to ensure they meet your requirements. You can create an unlimited number of templates.
Formatting
All text output adheres to your ecommerce site's stylesheets.
Note: Errors in your stylesheet (e.g., excessive spacing after lines or paragraphs) may lead to suboptimal results.
When building and testing a new template:
- Generate product text and publish it.
- Clear your browser cache.
- Review the output to see it as visitors would.
- Repeat until you are satisfied with the outcome.
Template section configuration
Each section can be customized for desired writing style and appearance, with varying properties across sections.
When generating text, WriteText.ai draws on comprehensive product knowledge, including:
- Product name
- Keywords (from the Keyword Analysis tool)
- Image analysis
- Product research (based on product name and featured image)
- Attributes
- User-defined information such as other product details, additional prompt, or special instructions
WriteText.ai takes into account the settings you choose (like tone, style, and audience) and combines them with any template settings to get the best possible results.
When deciding what to use, it follows this priority order, from highest to lowest:
- Special instructions (from either the template or the plugin)
- Attributes
- Real-time research
If there's a conflict between these elements, WriteText.ai will always prioritize special instructions first, followed by attributes, and then real-time research.
In the following list, you will find all the template properties along with a brief description of how to use and configure them.
Content source – Used to define your heading. You can choose “None” for no heading, “Custom text” to enter your own if you want uniform heading text for certain sections across different products, or “Generate using WriteText.ai” to let AI generate a custom heading text for that section.
Heading level – If you choose to have a heading (i.e., either custom text or generated using WriteText.ai), choose if the heading level should be H2, H3, H4, H5, or H6. Remember that the headings will follow the stylesheet of the ecommerce site to ensure design conformity, meaning that if there is an error in the stylesheets, the output will be affected.
Special instructions - WriteText.ai lets you add special prompt instructions in each section. This feature can, for instance, be used to insert a special call-to-action at the end of the section (like a “limited holiday version”) or to influence how meta titles are written (like adding an instruction to “use color attributes in the page title, chosen randomly”).
WriteText.ai uses best practices when it generates text. If you use special instructions like “write the entire title in lowercase”, then that will clash with WriteText.ai’s AI model because it’s been trained to write using “Title Case” when generating page titles, as it is best practice.
Special instructions guide WriteText.ai on text generation while seamlessly integrating keywords, image analysis, product research, and attributes.
Text style – Formatting normal text, bold, italics or underlined.
Text layout – The layout of a content section; the options are paragraph, bullet list and number list.
No. of line items – Defines the number of items if you choose either bullet or number list as the text layout.
Target length (in words) - The number of words for the section if you choose paragraph layout.
Space to next content section – Set the spacing between the current and the next template section using paragraph (default) or number of lines up to 5.
Number of questions – In the FAQ section, this setting determines the number of question-and-answer pairs WriteText.ai should generate.
Space between questions – This determines the spacing between each question-and-answer pair. You can choose between a paragraph or a number of lines up to 5.
Space between Q&A – The space between the question and the answer. The options are Default (meaning next line), Paragraph and [N] lines up to 5.
Custom prompt (Pro feature)
The custom prompt lets you create a section in the template where you define the prompt, e.g., for topics or parts of the content not already covered by the standard sections. The text generated from the custom prompt is still contextualized from the product data including product name, keyword analysis, product research results, attributes, and image analysis.
Prompt – The prompt to be used to generate the custom section content.
Supplement with realtime web research – If your prompt requires external content (like material data, product history, etc.), you can check this setting to improve the relevance and accuracy of the generated text.
Prompt defined (text layout) - If you want to define the layout of the text beyond the available options (paragraph, bullet, number list), you can choose “Prompt defined” which allows you to enter written instructions for WriteText.ai about your preferred layout and formatting.
Image (Pro feature)
Choose the image to include in your product text. For example, if you want a close-up image in your product description, ensure the close-up image consistently appears in the same position in the image gallery for all products, such as Gallery Image 5. This way, when adding an image for close-ups in your text, you can simply select Gallery Image 5 for the image.
Alignment – How the image should appear in the page: left, right or center aligned.
Include image description – Check this if you want to generate an accompanying description for the image.
Inline text – The text will be displayed as normal text / part of the product description.
Caption – The text will be displayed as a caption, using the style of a caption from the site’s stylesheets (figcaption, usually smaller in font than normal text).
Text placement – Choose where the image description should be displayed with respect to the image, i.e., above or below. This is only applicable when “Inline text” is selected as the type above (caption is automatically displayed below the image).
Space between text/image – Set the space between the text and the image, the options are Paragraph and [N] lines up to 5.
Custom prompts and special instructions
WriteText.ai provides several ways to influence content generation, depending on whether you're configuring reusable templates or customizing one-time output. Each method has a specific role and applies at a different scope.
Custom prompts (Pro feature)
These are standalone content sections you add to a template. Use Custom Prompts when you want to generate entire sections of content that aren't included by default; for example, Care Instructions, Comparison with Previous Model, or Sustainability Practices.
- User-defined prompts that guide AI output
- Can be supplemented with live product research
- Can use “Prompt defined” layout to specify the desired format
- Reusable across all products using that template
- Available only in Pro
Special instructions (for standard template sections)
These are optional fields in each standard section (e.g., Features, Benefits, FAQs) to add additional directions that adjust or guide the way the section is written. They do not replace the default WriteText.ai prompt but extend it.
Example:
In the Benefits section for a mountain bike:
“Emphasize benefits related to trail stability and downhill control. Avoid suggesting this model is suitable for casual urban riding.”
Use cases:
Emphasize or downplay specific details
Add tone adjustments
Guide the AI toward messaging aligned with marketing campaigns
Other ways to influence content
Other product details (under Attributes, single product generation) - Use this field to manually add important product details not present in your structured attributes. These are included as input for a single product only.
Additional prompt (single product generation) - Used to provide one-time generation instructions. It affects only the specific generation session and is saved per product, not in the template.
Special instructions in bulk (bulk generation) - Temporarily adjust output across many products upon bulk generation. This is ideal for campaigns, seasonal angles, or collection-wide modifications that don’t require template changes.
Instruction priority and conflict handling
Hierarchy of input priority (highest to lowest):
- User-provided prompts or instructions (custom prompts, special instructions, additional prompt)
- Product attributes, image analysis, target keywords
- Product research results
If conflicting information is found between these sources, user-specified instructions always take precedence. For example, if product research identifies a feature that contradicts your instruction to avoid it, the system will follow your directive.
However, do not write special instructions that conflict with settings you've configured in the template. For instance, if you’ve set FAQ questions to be bold, and then add a special instruction saying, “Italicize the questions”, your instruction will be ignored in favor of the template setting.
By using these tools thoughtfully, you can scale content creation while maintaining precise control over voice, structure, and relevance—whether for one product or an entire catalog.
